CaptainOS ("CaptainOS," "we," "us") builds tools for charter fishing guides. This policy explains what information we collect, how we use it, and the choices you have. We aim to collect only what we need to run the service.
Depending on which features you use, we may collect:
Charter captains (platform subscribers) — When a captain sets up their Dock Desk, they provide their email address to receive booking recap notifications. After each call Marina handles that results in a confirmed booking, CaptainOS emails the captain a summary including the customer's name, contact info, trip details, and a link to the calendar event.
These emails are transactional and directly related to the service. To stop receiving them, email captainoshq@gmail.com. We will never use your email for marketing without separate consent.
Anglers (end customers of charter captains) — When a customer calls a captain's Dock Desk number and books a trip through Marina, they verbally provide their email address. CaptainOS uses that email address to:
The calendar invite is sent by Google on behalf of the captain. The email is used solely for trip confirmation and deposit collection — never for marketing. We do not sell or share customer email addresses with third parties other than Stripe (for payment processing) and Google (for calendar delivery).
Limited Use Compliance Statement: The use of raw or derived user data received from Google Workspace APIs (including Google Calendar) will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
What Google data we access: CaptainOS requests access to two Google Calendar scopes: calendar.events (to create booking events on your calendar) and calendar.readonly (to check your calendar for available dates). No other Google account data is accessed.
How we use it: Calendar data is used solely to (1) check a captain's availability when a customer calls to book a trip, and (2) create a calendar event when a booking is confirmed. It is never used for advertising, profiling, or any purpose other than delivering the booking service.
Who we share it with: Google Calendar data is not sold or shared with third parties. It is processed only within CaptainOS's own systems to perform the booking. No calendar data is passed to Bland AI or any other third-party service.
How we protect it: OAuth refresh tokens are stored encrypted in Netlify Blobs, a server-side storage system. They are never exposed to the browser or transmitted outside of CaptainOS's secure serverless functions.
Retention and deletion: Calendar tokens are retained for as long as your CaptainOS account is active. You can revoke access at any time in your Google Account security settings, or by contacting us to delete your account. Upon account deletion, all stored tokens are removed.
AI/ML model training disclosure: CaptainOS does not use any data obtained through Google APIs — including Google Calendar data — to develop, improve, or train artificial intelligence or machine learning models. Calendar data is never transferred to any third-party AI service for training purposes.
We do not sell your personal information. We share data only with service providers who help us operate CaptainOS — Stripe for payment processing, Google for calendar access and booking confirmations, Resend for transactional email delivery, and Bland AI for AI-powered call handling — and only as needed to deliver the service or when required by law. Bland AI processes call audio and transcripts on our behalf; you can review their privacy practices at bland.ai/privacy.
We keep your information for as long as your account is active or as needed to provide the service, and we use reasonable safeguards to protect it. You can request deletion of your account data at any time by emailing us.
CaptainOS is intended for business use by adults and is not directed to anyone under 18.
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
